Fuscia Ltd is a company registered in England and Wales and is registered with the Information Commissioner’s Office (ICO) as a data controller.
2. What data we collect and why
We only collect data that is necessary to provide our services or to respond to your enquiry.
Enquiry and contact form data
We collect your name, business name, email address, phone number, enquiry type, and any details you choose to provide.
Legal basis: Legitimate interests – responding to a business enquiry you have initiated. We retain this data for 12 months from the date of your last contact, or for the duration of your client relationship plus 6 years for contractual records.
Qualification form data
We collect information about your business type, existing website, business goals, current marketing activity, and contact preferences.
Legal basis: Legitimate interests – assessing whether our service is an appropriate fit before committing resource. Retained for 12 months if you do not proceed, or for the duration of your client relationship plus 6 years if you do.
Client onboarding data
We collect your business trading and legal details, service and brand information, domain registrar and hosting credentials, calendar integration credentials (Microsoft Outlook), and social media login details where provided.
Credentials are submitted via encrypted fields and are never stored in plain text. They are accessed only during your build process and are never shared externally. You are encouraged to update passwords once your build is complete.
Legal basis: Contract performance – this data is required to deliver the service you have contracted us to provide. Retained for the duration of your active subscription plus 6 years.
CRM and communications data
When you submit an enquiry or become a client, your contact details and interaction history are stored in our CRM and communications platform. This is used to manage your pipeline, send automated confirmations and follow-up messages, and track the status of your enquiry or project. Automated messages sent on our behalf are always clearly identifiable as coming from Fuscia.
Legal basis: Legitimate interests – managing our client relationships and service delivery efficiently.
AI call handling data
If you contact us via our AI telephone receptionist, your call will be handled by an automated AI system. You will be informed at the start of the call that you are speaking with an AI. A transcript of your call may be generated and stored in our CRM for service management purposes.
Call transcripts are retained for 12 months. You may request deletion of your transcript at any time.
Legal basis: Legitimate interests – managing our enquiry handling and ensuring nothing is missed.
Calendar and booking data
If you book an appointment with us, your name, email address, and chosen time slot are passed to our Microsoft Outlook calendar. This data is used solely to schedule and manage appointments and is retained for 12 months after the appointment date.
Legal basis: Contract performance and legitimate interests.
Website analytics and advertising data
We use Google Analytics to understand how visitors use our website. This collects anonymised data including pages visited, time on site, referral source, and approximate geographic location. This data does not identify you personally.
We also use the Facebook Pixel, which collects anonymised browsing behaviour to help us measure the effectiveness of our advertising and reach relevant audiences on Facebook and Instagram.

Payment data
Payments are processed securely by Stripe. Fuscia does not collect or store your card details. All payment data is handled directly by Stripe in accordance with their own privacy policy and PCI DSS compliance.
3. How we use your data
We use the data we collect for the following purposes:
- Responding to your enquiry and assessing whether our service is a suitable fit
- Delivering and managing your website and automation services
- Sending service-related communications including build updates, confirmations, and reminders
- Processing your subscription payments
- Scheduling and managing appointments
- Improving our website and understanding how visitors engage with it
- Measuring the effectiveness of our advertising
- Complying with our legal and regulatory obligations
We do not use your data for unsolicited marketing. If you are an existing client, we may contact you about relevant service updates or new features directly relevant to your business. You can opt out at any time by contacting us at steve@fuscia.co.uk.
4. Who we share your data with
We do not sell your data. We do not share your data with third parties for their own marketing purposes. We share data only with the following categories of data processors, where necessary to deliver our services:
- CRM and communications platform – enquiry pipeline management, automated follow-ups, and client communications
- Website hosting provider – hosting and delivery of your website
- Stripe – payment processing
- Google Analytics – anonymised website usage data
- Meta (Facebook Pixel) – anonymised advertising measurement and audience data
- Microsoft (Outlook) – calendar and appointment scheduling
- AI call handling provider – automated telephone reception and call transcription
All third-party processors are contractually required to handle your data in accordance with UK GDPR. Where data is transferred outside the UK, appropriate safeguards are in place.
5. How long we keep your data
- Enquiry data (no contract): 12 months from last contact
- Client data and contractual records: duration of subscription plus 6 years
- Onboarding credentials: duration of active subscription
- Call transcripts: 12 months
- Booking data: 12 months after appointment
- Analytics data: governed by Google Analytics retention settings (typically 26 months)
When retention periods expire, data is securely deleted or anonymised.
6. Your rights
Under UK GDPR, you have the following rights in relation to your personal data:
- Right of access – you may request a copy of the data we hold about you
- Right to rectification – you may ask us to correct inaccurate data
- Right to erasure – you may ask us to delete your data, subject to any legal obligations to retain it
- Right to restriction – you may ask us to limit how we process your data in certain circumstances
- Right to data portability – you may request your data in a structured, commonly used format
- Right to object – you may object to processing based on legitimate interests
- Rights related to automated decision-making – where decisions are made automatically, you have the right to request human review

- Encrypted field storage for all credentials submitted during onboarding
- Secure HTTPS connections across our website and client portals
- Access to personal data limited to authorised Fuscia Ltd personnel only
- Third-party processors selected on the basis of their own security standards and GDPR compliance
In the unlikely event of a data breach that poses a risk to your rights and freedoms, we will notify you and the ICO within 72 hours of becoming aware of it, as required by law.
